Another thing I strongly recommend, and this is something I got from Gina, Slack. Slack is a team chat tool that I am more and more finding indispensable for our purposes.

JiB How is Slack specifically different than email or mail-list? I mean, I recognize that it's essentially a chat/IM application, I use it for work, but for purposes of organizing a schedule, I don't see how it's qualitatively different.

If people turn on notifications for their mobiles, it's pretty nagging, so you tend to get responses.

Through work, I've grown pretty fond of Slack in general, but I'm not sure how I can get the remainder of my players on it. They include an Apple employee who won't touch google (so no Hangouts), a Google employee who won't touch apple (so no iMessage), two managers and a lawyer. Huh. Maybe it will end up being a neutral ground they can agree on.

I just don't get slack though. It's just ANOTHER stream of data to manage. People think, I don't know, that it's going to replace email or something, but no, it just adds to it.

I mean, I recognize that it's essentially a chat/IM application, I use it for work, but for purposes of organizing a schedule, I don't see how it's qualitatively different. Mostly what Stu said, it nags you. I also like that I can easily set up multiple channels or log into multiple teams and have all of that communication in one place. Admittedly it can get distracting, there are some days when I check it after work that there are hundreds of messages on the various gaming related channels. JiB

Another tool for scheduling which may help some of you is Doodle.com – It allows you to propose all available times, and then let the invitees determine which times they can attend, and the organizer can pull from the poll results which time is best.
I've just started using it. I'll post back if the results are noteworthy.

I currently am interacting with three disparate groups that ar all using Slack. It makes it more convenient to manage the multitude of communications!

We use Facebook. I create a group for the gaming group. This. We all use Facebook pretty consistently, so that's where our game planning discussions take place. As for at-the-table private discussions, I just text message my players' cell phones. It's completely sufficient for our needs.

For my GURPS game, we use Obsidian Portal for session tracking and a game calendar. We have a set day and time (1st and 3rd Wednesday of each month). We have one player that is remote who we integrate to the table with a small monitor with a web cam on top, set at the end of the table. The general expectation is that everyone but the one player (who lives 80 miles away, but who was originally staying much closer until their job allowed them full-time remote work) shows up in person. On those occasions where someone has something minor that would prevent them from coming to the game location, but not enough that they can't play, we add them in on the video call. It has worked well so far, even having one day where 3 of the 4 players where remote. We also use Slack now for some in and out of game commentary.

I've just started using it. I'll post back if the results are noteworthy. I use doodle exclusively for scheduling a group of ER employees spanning day, mid and noc shifts. I love it and average 2 games a month. The app is free, clean, intuitive and (best of all) optional. I create a poll with all of my available days. My players can go to a website to put in their vote or they can use the app. The app notifies me when someone votes and table view makes it super easy to see when I have quorum.
